REV Photography & Media Policy

REV Pilates Pty Ltd ACN 695 797 196, trading as REV Pilates ("REV", "we", "us", "our")
This policy sits alongside, and should be read together with, REV's Privacy Policy (in particular Section 7, Photography and Media Consent). Where there is any inconsistency between this policy and the Privacy Policy, the Privacy Policy prevails on general privacy matters and this policy prevails on matters specific to photography and media.

1. Purpose and scope
This policy sets out how REV captures, uses, stores and manages consent for photographs, video, and audio-visual content ("Media") featuring members, participants, staff and visitors, and how individuals can control the use of their own image.
This policy applies to Media captured:
-
during classes, workshops, studio events or community events;
-
at the REV studio or any other location where REV operates or runs an event;
-
for the purpose of REV's website, social media, advertising or other promotional activity; and
-
by REV staff, contractors or engaged photographers/videographers on REV's behalf.
This policy does not apply to Media captured independently by other members, participants or visitors for their own personal, non-commercial use (see Section 8).
2. Consent is separate and optional
Media consent is entirely separate from, and not a condition of:
-
becoming or remaining a REV member;
-
purchasing a membership or class pass;
-
booking or attending a class, workshop or event; or
-
providing health, safety or intake information.
Declining or withdrawing Media consent will not affect your access to any REV service, class or membership.
Consent to receive marketing communications (under REV's Privacy Policy, Section 6) does not include consent to use your image in Media. These are collected and recorded separately.
3. What we ask consent for
REV uses a tiered consent model. When capturing or seeking to use identifiable Media of you, we will ask you to indicate, on a "yes/no" basis for each of the following uses:

Posted on REV's Instagram, Facebook or other social channels
Digital advertising
Used in paid advertising (e.g. Meta Ads, Google Ads)
Printed advertising and signage
Used in brochures, flyers, studio signage or other printed material
Third-party or partner promotion
Shared with a partner brand, event sponsor or media outlet for promotional purposes
You may consent to some uses and decline others. Where you have not given consent for a particular use, REV will not use identifiable Media of you for that use.
Media that does not identify you (for example, wide shots of a class where individuals are not reasonably identifiable, or footage of equipment/studio space only) is not subject to this consent framework, as it does not constitute your personal information.
4. How consent is captured
Consent will be recorded through one or more of the following methods:
-
a photography/media consent form completed at sign-up, at an event, or on request;
-
a toggle or setting within the REV member portal or mobile application;
-
a written or verbal request recorded by REV staff (for one-off events); and
-
signage at an event stating that photography will occur, where individual consent capture is not practicable (e.g. large public events) — see Section 7.
REV will keep a record of:
-
the individual's name;
-
the date consent was given;
-
which specific uses were consented to; and
-
who captured or recorded the consent.
Consent forms and records are retained in accordance with REV's Privacy Policy retention practices (Section 9) and this policy's Section 9.
5. Participants under 18
Where an identifiable participant is under 18, REV will obtain consent from their parent or legal guardian before capturing or using Media of that participant for any purpose beyond internal safety/attendance records.
Media consent for a participant under 18 must be given separately from:
-
the participant's intake form or waiver; and
-
any general marketing consent given by the parent or guardian in relation to their own communications.
A parent or guardian may withdraw Media consent for their child at any time in accordance with Section 6, and may do so independently of any other consent given on the child's behalf.
REV will take particular care to avoid publishing Media of a participant under 18 alongside identifying information (such as full name, school, or age) beyond what is reasonably necessary for the relevant use.
6. Withdrawing consent
You (or, for a participant under 18, their parent or guardian) may withdraw Media consent at any time by:
-
contacting REV at hello@revpilates.au;
-
updating your preferences in the REV member portal or mobile application, where available; or
-
advising REV staff directly, who will action the request or escalate it to the Privacy Officer.
What withdrawal does and does not cover:
-
Withdrawal applies to future use of your Media from the date REV receives and processes the request.
-
REV will take reasonable steps to remove or stop using your Media across channels REV directly controls (website, social media accounts, active advertising campaigns) within 10 business days of receiving a valid withdrawal request.

Withdrawal cannot guarantee removal of Media that has already been:
-
printed and distributed (e.g. brochures already in circulation);
-
shared, reposted or downloaded by a third party outside REV's control;
-
incorporated into completed marketing material already published; or
-
cached or archived by a platform or search engine outside REV's control.

Where full removal is not possible, REV will confirm this to you and explain what steps (if any) remain available.
7. Events and public photography
At larger studio events, workshops or community events where individual consent capture for every attendee is not practicable, REV will:
-
display clear signage at the entrance or registration point stating that photography/video will occur and the general purpose (e.g. "Photos and video will be taken at this event for use on REV's website and social media");
-
provide a way for attendees to opt out on request (for example, a coloured wristband, sticker, or notifying staff) before Media is captured or published; and
-
honour any opt-out by excluding that individual from published Media where reasonably practicable, or seeking individual consent before publishing any Media in which they are clearly identifiable.
This approach does not apply to participants under 18, for whom prior parent/guardian consent under Section 5 is still required regardless of event signage.
8. Media captured by others
REV does not control photography or video taken independently by other members, participants, or visitors using their own devices for personal use (for example, a member photographing their own class experience).
REV asks all members and visitors to be respectful of others' privacy, including:
-
not photographing or filming other identifiable members without their agreement; and
-
not posting identifiable images of other members on personal social media without their agreement.
If you believe another member or visitor has captured or shared your image inappropriately, contact REV and we will assist where reasonably practicable, including by raising the matter with the individual concerned.
9. Storage, security and retention
Media and associated consent records are handled in accordance with REV's Privacy Policy, including the security measures described in Section 8 and retention practices described in Section 9 of that policy.
REV will retain:
-
raw/unpublished Media for as long as reasonably required for the purpose it was captured, or until consent is withdrawn, whichever is earlier; and
-
consent records for the period Media remains in active use, plus a reasonable period afterward to evidence that valid consent was obtained.
10. Complaints
Questions or complaints about how REV has captured or used Media should be directed to REV's Privacy Officer using the contact details in REV's Privacy Policy (Section 13 process applies equally to Media-related complaints).
11. Changes to this policy
REV may update this policy from time to time, consistent with Section 15 of REV's Privacy Policy. The current version will be available on the REV website and, where changes are material, notified to members directly.
